LMS PTO Exec Minutes

January 16th, 2025

Meeting Adjourned at 10:05

  1. Approval of Minutes – Roseann
    1. Motion to approve, seconded and approved.
  1.  Principal's Update
    1. Play performance date will change; last week of February and Chappel will announce – Wed and Thurs
    2. Boys BB and cheer – games start next Tuesday; have 5 teams (high % of participation)
    3. Conferences
      1. February; same drop in format as last fall
    4. Enrollment
      1. 5th graders (incoming 6th) student tour for EXPLO on 1/27; parent night on 2/4. Families are in messaging system now to deploy communication. Math announcement changes. Enrollment forms due 2/18 (date to be confirmed) which will inform # of sections that informs master schedule + staffing
      2. 8th grade enrollment 1/16 at BVN
    5. Wolf Spring Middle School – principal from Oxford will move over; looking for assistant (who will transition through Aubrey Bend)
    6. Family in need – DoorDash personal fundraising through Staff; PTO allows for $100 in funds; Jen will confirm that is the limit – motioned, second, approved.  
    7. Ideas for PTO funds
      1. PA System – Sperf has narrowed down options
      2. Gaga – Sperf confirming storage solution before letting PTO know
      3. Nurse – hasn’t mentioned any needs
  1. President's Report
    1. Farewell date still the same? Game plan for 8th grade graduation for the same date for the time being, won’t be voted on until right after spring break – 5 snow days were baked in and we’ve used 4 (possibly 3 if the statewide emergency reduced one down)
    2. Incoming 6th grade parent presentation night 2/4
      1. Jen will represent, she has slides that she will update and return to Colburn. Anne’s presence TBD pending her schedule.
    3. Purchasing wireless speaker prior to Spring ENO
      1. Sarah O had shared a link to the the music teacher uses at MTE; approved to purchase in previous meeting. Jen will purchase before ENO.
    4. Donuts for Kids – Anne is coordinating; TBD post Spring Break

    2. Financials are stable
  2. Tax document filings
    1. Sales tax filed and paid - if we don’t sell entry tickets, but a raffle ticket to ENO, don’t pay taxes
      1. Consider switching to non-taxable entry for ENO
    2. 1099’s issued to vendors $600 or over (creative photo booth, magician and dj)
  1. VP Communications - Dana C
    1. 8th Grade Farewell – on the final full day; busses need to know where to go ASAP
      1. Meeting booked for 1/16 following BVN Enrollment night
        1. Idea for gift due to Repainting – wall decals that can be removed – curved hallway all the way to the commons; huge letters “Eagles”
        2. Neon sign in focal/welcome space
        3. Modern numbers on 6th, 7th 8th halls

      1. Process to begin soon
      2. VP should reach out to current committees prior to Feb meeting to see who wants to come back next year – everyone should begin reaching out now to fill committees to provide notes to the nominations committee (report back at Feb Meeting)
      3. Committee meeting/discussion regarding timeline: March - before Spring Break confirm who is returning, after Spring Break fill open positions / April - approve nominations to finalize 2025-26 Slate

    1. Eagles Night Out
      1. Spring theme - Wild West
      2. Changes ~
        1. Adding two volunteer spots
          1. Volunteer to check out any students leaving before 9 pm.
          2. Volunteer to support stations/volunteers (no floaters).
        2. Asking volunteers to arrive at 6:15 instead of 6:45,
        3. The goal is to have all decorations complete by 6:30.
        4. Concession sales go until 9pm.
      3. Ticket sales go live next week, $15
        1. Use PTO excess funds.Tickets are now $0 (a change from what the printed materials are; Sarah O to change ASAP). Ask parents for financial donation instead (to be used to purchase instead of asking for donated snacks and selling them)
          1. Motion to wave the $15 for a one-time event; second. All present approved.
      4. Hope to add one more event, waiting for approval
      5. No glitter, and limiting decorative items hanging from the ceiling.  We will reuse the Red Carpet and hang lights at the entry. 
    2. Community Fundraisers
      1. Next event ~ researching ideas (Spin Pizza or another shopping event).  Will plan to have one in March or April.
